SAIC Administrative Assistant II in SAN BERNARDINO, California

Job Description:

SAIC is seeking an enthusiastic and highly motivated Administrative Assistant to support our San Bernardino Engineering Center. As part of the team, the candidate would provide a wide variety of general administrative, clerical, and office functions in support of multiple rocket launch programs. Administrative support tasks encompass a full range of moderate to complex clerical and secretarial assignments that involve use of experience and discretion.

Roles and Responsibilities (including some or all of the following):

  • Assist management staff and a team of approximately 50 team members at the San Bernardino Engineering Center.

  • Maintaining schedules, appointments, meetings, and calendars in Microsoft Outlook for assigned staff, including hosting virtual meetings.

  • Coordinate and prepare travel arrangements and expense reports.

  • Organizing, coordinating, and assisting with conferences, meetings, and other events including coordinating meals.

  • Managing front desk operations, including greeting and escorting visitors, preparing visitor badges, performing check-in and checkout procedures, and receiving deliveries.

  • Assist security staff in the acceptance and logging of controlled documents.

  • Prepare outgoing shipments through FedEx and UPS.

  • Interact with other support staff and departments to gather, supply, or coordinate information.

  • Prepare and submit sponsorship documentation for non-employee accounts.

  • Preparing and composing correspondence and reports, and maintaining a formal documentation control system.

  • Assist with facility maintenance by identifying needs and preparing work tickets.

  • Maintain breakroom and office equipment and supplies readiness via inventory, purchasing, refills, and cleaning as necessary. Includes coffee machines, coffee pods, refrigerators, microwaves, copy machines, printers, office supplies, recycling items, etc.

  • Prepare office spaces for new employees, facilitate office moves, and maintain employee directories, office nameplates, email distribution groups, organization charts, floorplans, etc.

  • Submit procurement requests for purchase or maintenance of software and equipment, and invoice payments. For lower value items purchase directly with corporate P-Card and prepare transaction allocations for approval.

  • Systems currently used: Microsoft Office, Concur Travel & Expense, SIMS, Purchasing platforms (Guernsey, JLL, Amazon, CDWG, Staples), Cornerstone, Atlassian JIRA/Confluence, Zoom, MS Teams, and internal tools.

  • Generally be the go-getter that keeps everyone else working efficiently!

Qualifications

Minimum Qualifications:

To be considered for this position, you must minimally meet the knowledge, skills, and abilities listed below:

  • High School + 3 years of relevant experience

  • Proficiency with Microsoft Office tools

  • Ability to complete assigned and independently identified tasks efficiently

  • Position requires a proactive, self-starting, independent, flexible professional with excellent interpersonal skills capable of working on with a diverse team

  • Ability to obtain DoD Secret Security Clearance

Preferred Qualifications:

Candidates with these desired skills will be given preferential consideration:

  • Associate’s Degree + 5 years of experience

  • Current DoD Secret (or higher) Security Clearance

  • Experience with suite of currently used tools and systems

Target salary range: $50,001 - $75,000. The estimate displayed represents the typical salary range for this position based on experience and other factors.
