Job Description

Job Summary

The Senior Administrative Assistant provides high-level administrative support to executives and/or senior management by managing a wide variety of day-to-day activities of the office that encompass both organizational and administrative functions. Essential workplace office management duties include but are not limited to expense and travel management, budget management, administrative support, and event coordination.

Job Duties

  • Effectively create, plan, and manage event projects for various company or employee-related events. Maintain and organize data or materials, including scheduling and coordinating participants with other internal departments to ensure successful event management.

  • Initiate and process requisitions related to purchase orders, supply, printing and marketing materials, catering and vendor requests, travel-related expenses and reimbursements, and other necessary requests as needed.

  • Responsible for heavy calendar management to coordinate a variety of appointments and meetings; reserves conference rooms and make other necessary arrangements, organizing materials. Responsible for the reconciliation of expense accounts. Organize travel arrangements and manage travel schedules to include itineraries, hotel/transportation reservations, and confirmations. Coordinate or attend meetings to record minutes. May coordinate logistics for meetings: including room setup and catering.

  • Performs general office duties, such as ordering supplies, maintaining records, filing, and mail distribution. Answers phone calls and direct calls to appropriate parties or take messages. Greets visitors and determines whether they should be given access to specific individuals. Reads and analyzes incoming memos, mail, submissions, and reports to determine their significance and plan their distribution.

  • Develops reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software. Maintains data utilizing Microsoft Office Suite and other database software. Create and maintain organizational charts using Visio.

  • Oversees research, compiles data, and prepares materials and documents for consideration and presentation. Prepares board materials including presentations, reports, and documents using BoardVantage and Boardbooks, or similar board platforms.

  • Responsible for aiding in own self-development by being available and receptive to all training made available by the company. Ensures compliance with Exeter’s policies & procedures, safety, state and federal laws, regulations, and standards.

  • Other duties as assigned.

  • Education and Work Experience

  • Bachelor’s degree or educational experience in related field preferred, or relevant work experience.

  • Five (5) to Seven (7) plus years or more of equivalent work-related experience. Previous experience in an administrative role or supporting executives preferred.

  • Advanced written and spoken (English) communication and administrative skills; excellent telephone manners.

  • Advanced proficiency in MS Office Suite products: Word, Excel, Outlook, PowerPoint OneNote, Visio; experience with mail-merges and with customer or donor databases.

  • Excellent interpersonal communication skills with the ability to effectively communicate complex. information clearly and concisely and work with staff at various levels.

  • Exceptional time-management, planning, and administrative skills.

  • Ability to organize and prioritize workload to meet deadlines.

  • Ability to work independently and react to changes in plans with a sense of urgency.

  • Attention to detail and reliable follow-through with a high level of accuracy.

  • Demonstrate a high level of diplomacy, sound judgment, and discretion when dealing with customers and other department staff.

  • Experience with office calendaring and scheduling, expense management, and Executive travel coordination.

  • High degree of energy, self-motivation, and flexibility.

  • Ability to work effectively in a fast-paced work environment.

  • Past administrative experience or tenure in a C-Level office setting a plus.

Compensation Information

Salary Range: $50,752 - $69,472

Individual compensation packages are based on various factors unique to each candidate including skill set, experience, qualifications, and other job-related reasons.
